This is not a one-size-fits-all protocol. Use the suggestions below as a starting point and adapt them based on the needs and context of your unique training cohort.

1 Week of Missed Deliverables

Reach out on Slack

  • Ask if they need support and when you can expect them to complete the output
    • Hey Sasha! I noticed that you hadn’t submitted the CSS Syntax Output yet. Can you please let me know when you expect to submit it so that I know when to look out for it and get you feedback? If there’s anything I can do to support you in completing it or working through the lessons this week, don’t hesitate to let me know!
  • If they don’t respond within 24 hours, take it off Slack - call, text, or email them

Follow up on the date they say they’ll submit

  • Check on Canvas for their submission
  • If it’s still missing, reach out to let them know that you haven’t received it and set a new date for them that’s more urgent.
    • Hi Sasha - I know you said you planned to submit the CSS Syntax Output this week, but I don’t see it on Canvas. Please let me know if you need additional time with this or if you’re needing support technically. I want to make sure that you don’t fall too far behind on training, so I’m going to ask you to submit it by EOD Sunday. Do you think you’ll be able to do that?
 

2 Weeks of Missed Deliverables

Go through the same process as above for 1 week of missed deliverables, AND add an additional layer of support that aligns w/ the root cause

  • If communication has been an issue or they have been struggling with the technical content: Consider setting up a 1:1 conversation over Zoom or phone to talk through barriers that are in their way, discuss what they have missed, how they are planning to catch up, set a concrete timeline for delivery
    • Hi Sasha - I know that you’ve been struggling to get the training outputs done in a timely manner and you have 2 weeks of training tasks to catch up on. I want to make sure you’re not feeling overwhelmed and feel set up for success, so I’d love to hop on a call with you to talk it through. Could you please share a few times that you’re free this week?
  • If they are naming the same issue as the reason for not submitting: Lean into accountability here and acknowledge the barriers in their way, but hold them accountable to a concrete deadline and offer helpful tips or solutions
    • Thanks for letting me know that you’re still busy with exams. I understand how hard it might be to balance your school responsibilities and training, but I want to make sure that you don’t get too far behind in training and get overwhelmed by all the work you need to do to catch up. Based on estimates, it should take you about 6 hours to complete the tasks you’ve missed the last two weeks. I’ll ask that you take a look at your workload, schedule, and let me know what’s a reasonable deadline in the next week where you can expect to get these done.
